Help & data handling

Keep every capture accounted for.

Capture safely

Use original JPEG, PNG or WebP photos. Capture front, rear, left, right, roof and interior views where safe access permits. Record a reason for any unavailable view. Do not climb onto a trailer or enter an unsafe area for a photograph.

Understand the save status

“On this device” means a draft is stored in this browser. “Saved to server” means the server confirmed synchronization. Review and finalize only after every queued photo and edit has synchronized.

When the connection drops

Keep this browser and device. Pending original photos survive ordinary reloads while device storage remains available. Return to Handover, sign in to the same account and workspace if requested, and use Save & sync. Private browsing, clearing browser data, storage eviction, or losing the device can remove local work.

Signing out and shared devices

Signing out clears this app’s local drafts from the device after a discard confirmation. Sync important work first. Drafts are separated by account and workspace; a different account cannot resume them through the app.

Finalized records

Finalized inspections preserve their original condition record. Corrections are added as amendments. Device capture time, server receipt time, the inspector and original image hashes provide context; they do not establish fault.

Sharing and access

A report link grants access to its scoped report until it expires or is revoked. Share it only with intended recipients. Workspace administrators control team membership and access.

Archive, closure and deletion

Archiving disables edits while records remain available to read and export. For owner-verified workspace closure or deletion requests, contact support@fmtools.net. Closure revokes workspace access and retains evidence. Later deletion requires operator review, at least 90 days since closure, and no retention hold; it is not immediate or automatic.

Password and account recovery

Email recovery works only when transactional email is configured and delivery succeeds. If unavailable, contact your workspace owner or support for verified manual recovery. Never send your password by email.
